This Privacy Policy explains how True Flame Heating ("we", "us", "our") collects, uses and protects your personal data when you visit https://trueflameheating.co.uk or use our plumbing and heating services. We comply with the UK GDPR and the Data Protection Act 2018.

What we collect

  • Contact details you give us — name, address, email, phone number — when you request a quote, book a job, or message us.
  • Job details — the property address, appliance details, photos and notes needed to carry out the work.
  • Payment information — invoice details. We do not store card numbers.
  • Landlord & CP12 records — gas safety certificate records we are legally required to retain.
  • Website data — IP address, browser, pages viewed, and cookies (see our Cookie Policy).

How we use your data

  • Provide quotes and carry out the plumbing or heating work you've asked us to do.
  • Issue invoices, certificates (including CP12 landlord gas safety certificates) and warranty paperwork.
  • Respond to enquiries and provide aftercare.
  • Meet our legal obligations under Gas Safe and HMRC rules.
  • Improve our website and services.

Legal basis

We process your data under one or more of: performance of a contract (carrying out work), legal obligation (Gas Safe records, tax), legitimate interests (running our business and responding to enquiries) or your consent (marketing, non-essential cookies).

Who we share data with

We do not sell your data. We only share it with:

  • Trusted suppliers and software providers (e.g. invoicing, CP12 certificate platforms, email).
  • Gas Safe Register and HMRC where required by law.
  • Your letting agent where you have asked us to send your CP12 directly.

How long we keep it

Job records and CP12 certificates are kept for at least 2 years (Gas Safe requirement) and typically up to 7 years for accounting and warranty purposes. Quote enquiries are deleted after 24 months if no work is booked.

Your rights
